What does Smartfile do?

Smartfile uses AI to read and summarise property documents — like LIMs, building reports, and EQC or NHC records — so you can quickly understand the key points without having to wade through pages of technical detail.

How do I upload my files?

Create a free account and add your property. Upload documents and images directly to your property card. All your files stay organised in one place for easy access.

What types of documents can I upload?

You can upload LIM reports, building inspections, EQC/NHC documents, Body Corporate documents, council files, insurance reports and most other reports related to the property. If you’re unsure, upload it anyway; Smartfile will let you know if it can be used. Check out our resources page for more.

What reports can I generate with Smartfile?

You can generate two types of reports in Smartfile:

  • A Highlight Summary – a short report that pinpoints key details, potential issues, and points of interest for quick review.
  • A Full Report – a comprehensive report that consolidates all important and relevant details into one structured document.

Is there a file size limit when uploading to Smartfile?

Files larger than 50MB cannot be analysed. If your file is over this limit, we suggest splitting it into two smaller files before uploading so the content can still be processed. Alternatively, contact the document provider and request a smaller file size.

Where do the documents come from?

Most of the information about a property is held by the local council. Real estate agents often gather these documents to help potential buyers. If you’ve received documents from the agent, you can upload them directly for analysis, and add any other documents you might have yourself. Check out our resources page for more.

What file formats do you accept?

Currently, Smartfile works best with PDFs. Save Word documents as a PDF before uploading them to Smartfile.

How long does it take to get a summary?

Most files are summarised within a few minutes. If a document is especially large or hard to read, it might take a little longer, but Smartfile will indicate the progress.

Can I ask specific questions?

Yes. Use the Query feature to ask about any aspect of your property documents. Get clear, direct answers without searching through pages of information.

Do I still need a lawyer or conveyancer?

Yes. Our service helps you understand what’s in the documents—but it doesn’t replace legal advice. A qualified conveyancer or lawyer should still review everything before you make any final decisions.

What if the AI misses something or makes a mistake?

AI is powerful, but not perfect. Our summaries are designed to help you spot the key issues faster—but they aren’t a substitute for expert advice. If something doesn’t seem right, or if you’re unsure, it’s always best to check with a lawyer or property professional.

Is my information safe?

Yes. Your documents and data are stored securely. We don’t share your information without your permission, and we follow best practices to keep everything private.

Can I get my report corrected if there is an error?

If you wish to make corrections you can edit your own PDF version of the report. At this point in time it is not possible to instruct the AI to rewrite a report or correct an error.

Do my credits expire?

Yes. If you’re on a monthly payment plan, your plan renews on the anniversary of your sign-up date. Any unused credits won’t roll over to the next billing cycle, so make sure you use them before they reset.

Can I change my plan?

We understand there are busy periods and quiet periods which is why we make it easy to adjust the volumes you need. You can top-up a subscription with pay on-demand or purchase more than one subscription for busy periods. With no contracts and no strings, you can make easy adjustments to suit your needs.

Do you offer refunds?

We don’t offer refunds for unused credits, but you can cancel anytime to stop future billing.

How can I change the account holder's name or email address?

You can update your account name or email anytime in your account settings. Changes will be reflected immediately.

Can I close my account at any time?

Yes. We know that once you've found your dream home, you won't need Smartfile, until the next time. You can close your account through your Smartfile account settings.
